I hope all is well and as you know, we're only a few weeks out from Challenge Forte Village Sardinia! I wanted to touch base to make sure preparations have been made for all the marketing requirements to ensure your race gets the best exposure possible on race day and beyond.
Please note that this is a general email that is sent to all races as a reminder, so please don't worry if not all of it applies to you!

PRE-RACE
Please send through your live streaming plans (if applicable) and production company details as soon as possible so we can double check quality standards and get them signed off.
Please make sure you send through all race day details such as as your pro field, number of athletes and nationalities racing and any other key information we can include in the preview press release we will send out to the global media.
Please send me your live timing link, and live streaming link if applicable, so we can include it on the challenge-family.live page before the event.
Please provide me with details of your official photographers (marketing photographers, not athlete pics photographers) and videographers
Please ensure you have organised two English speaking on-ground race reporters secured (one for the male pros and one for the female pros) on motorbikes to provide updates from the course. Please liaise with me to finalise these details and check the Race Reporting Guidelines here for further information.
In your pre-race newsletter giving essential information for race week, encourage your athletes to join the race Strava event on the Challenge Family Strava Club. If you haven't already, please send me your .GPX files of the course so we can create this event.

RACE WEEK
Update your website with links to Results and Live Updates (www.challenge-family.live)
Please send me a final list of all registered pro athletes, including their email addresses, so that I can contact them immediately after the race with photos for their social media so we can maximise the international reach of the race.
Capture as much imagery as possible, including from side events to tell the story of the event and deliver to me daily either via Google Drive or WeTransfer, whatever your photography team prefers
Ensure to brief the photography team to deliver finish line photos to me of the top three pros immediately after they finish.
Please also provide me with a press release/race report within one hour of the third place woman finishing. This will be used as a basis for the press release sent out to all international media.
Finally, please brief the photography team to deliver a first edit of 10 photos from the swim, bike, run and finish that can be used to accompany the press release. These too must be delivered within one hour of the third place woman finishing.
The final edit of all photos must be delivered by the end of the day on race day
The highlights video should be delivered 24-48 hours after the race

AFTER THE RACE
In your post-race newsletter, which should be sent within 24 hours of the event, please ensure you include the following:
Encourage athletes to rate your event on Racecheck as this will help other athletes to decide if they want to race your event the next time. Word of mouth and testimonials are your most powerful form of marketing. Your unique link is: https://racecheck.com/races/challenge-forte-village-sardinia/
Provide details of how athletes can purchase their race images as a souvenir of their race
Provide details of how athletes can find their results
Encourage athletes to upload their Strava files to the Challenge Family Club on Strava
Provide me with next year's race date, registration opening date and price tier structure
Update your website with all the weekend's news and images
Update the countdown clock on your website to the next year's event
